JOB SUMMARY:
Provide high-level administrative support to the executive or senior leader. The role involves managing schedules, handling correspondence, coordinating meetings, preparing reports, and assisting with strategic tasks. The executive assistant role is highly dynamic, requiring flexibility, attention to detail, proactive problem-solving, and the ability to manage time effectively in a fast-paced environment. The role serves as a liaison, often representing the executive in communications with internal and external stakeholders and may involve managing confidential information, conducting research, and assisting with decision-making processes.
DUTIES AND RESPONSIBILITIES:
1. Calendar Management: Managing the executive's schedule, including organizing meetings, appointments, travel arrangements, and personal commitments.
2. Communication Management: Handling incoming and outgoing communications such as emails, phone calls, and other forms of communication, often responding on behalf of the executive.
3. Meeting Coordination: Scheduling and organizing meetings, preparing agenda, taking minutes, and ensuring follow-up on action items.
4. Travel Arrangements: Coordinating travel logistics such as booking flights, accommodations, and ground transportation, and preparing detailed itineraries.
5. Document Preparation: Preparing reports, presentations, spreadsheets, and other documents required for meetings or decision-making.
6. Liaison Role: Acting as a liaison between the executive and internal departments or external clients, maintaining relationships, and ensuring smooth communication.
7. Confidential Information Handling: Managing sensitive and confidential information with discretion and maintaining security protocols.
8. Project Assistance: Assisting with project management tasks, coordinating project timelines, and ensuring that milestones are met on time.
9. Event Planning: Organizing and coordinating corporate events, retreats, team building, etc. as required.
10. Expense Management: Managing expense reports, processing reimbursements, and keeping track of budgets related to the executive's activities.
11. Research: Conducting research on various topics or preparing background information for executive decision-making or meetings.
12. Task Prioritization: Prioritizing and managing multiple tasks and projects, often with shifting priorities, to support the executive's efficiency.
MINIMUM QUALIFICATIONS:
• Strong organizational, communication, and problem-solving skills
• High School graduate with higher education preferred
• At least 2 years' experience as administrative assistant (preferably supporting an executive)
• Proficient knowledge of Windows programs with emphasis on Word, Excel and Power Point
• General knowledge of Adobe, Visio and Project
• General knowledge of support peripherals: scanners, digital cameras, color printers, card scanners, etc.
