Program Coordinator II (College of Medicine) (Finance)
1. Coordinates program to ensure that implementation and prescribed activities are carried out in accordance with specified objectives.
2. Participates in planning and develops methods for program implementation and administration; coordinates program activities and processes.
3. Plans and schedules activities in collaboration with our interprofessional teams from other University of Houston colleges.
4. Reviews program records and reports of activities. Recommends modifications to methods or procedures as required.
5. Prepares recurring and ad hoc program reports for management use.
6. Assists in preparing reports, proposals, manuals, and other documentation as required for the program.
7. Participates in budget planning and is responsible for controlling expenditures in accordance with budget allocations for the program.
8. Conducts formal training or gives instruction regarding program policies and procedures.
9. Interacts with faculty, staff and students to promote the goals and objectives of the program.
10. Develops and maintains database on research studies, policy issues, etc.
11. Performs other job related duties as required.
MQ: Education: Requires the ability and knowledge for analysis and interpretation of procedures, policies and practices attainable through specific education and/or training programs in a specialty or technical field. Advanced vocational or electronic skills or a basic knowledge of a professional field is required. An Associate's degree or certification/licensing in a technical specialty program of over 18 months and up to 3 years duration are characteristic of this field. Experience: Requires a minimum of one (1) year of directly job-related experience.

Administrative Support
• Serve as a trusted and detail-oriented partner to institute leadership, managing high-level calendar schedules with precision and anticipating priorities to ensure alignment with organizational goals.
• Proactively coordinate and prepare materials for external-facing engagements, including presentations, briefings, and meeting agendas, showcasing the institute's initiatives to corporate, academic, and community stakeholders.

• Plan, organize, and execute events, including student programs (SHERP, HIGH, HIPHOP), faculty programs/educational lectures (SPARK), partner meetings and high-level meetings with Humana, Centerwell and other external stakeholders.
• Coordinate event logistics, such as venue selection, vendor management, catering, audiovisual setup, event scheduling and on-site operations for the Summer Health Equity Research program (SHERP), Humana Institute Graduate Fellowship in Healthcare (HIGH) and the interprofessional Grand Rounds (SPARK)
• Create structured, actionable event plans, tracking progress against key milestones to ensure timely and flawless delivery of all components.
• Lead guest registration processes, including RSVP tracking and attendee communication, utilizing tools like Qualtrics, Redcap, and Excel to ensure seamless coordination and accuracy.
• Serve as the lead on-site coordinator during events, ensuring smooth operations and addressing any issues promptly to maintain a seamless attendee experience.
• Partner with marketing teams to create engaging promotional materials and execute thoughtful post-event communications, enhancing attendee engagement and event impact.
• Represent the institute at external events, conferences, and meetings, acting as an ambassador for its mission and values.
